Title: Patron Data and Fund Development Coordinator
Job Type: Part-Time, 22-28 hours per week
Education: 4-Year Degree or 2-year degree, plus related professional experience required
Salary: USD $24-$28/hour, paid hourly, non-exempt
Reports to: Executive Director
Brief Summary: The Patron Data and Fund Development Coordinator position is a flexible, part-time position (22-28 hrs./wk.) The person in this position is responsible for data and patron data management that supports the other team members with support in database management (ticket, patron, gift entry and reporting, regular patron record de-duplication, and ticket/sales reporting); assistance with grant reporting and preparation; and support for corporate sponsorship materials and communications.
This team member should have a strong attention to detail, an aptitude for systems, a team-oriented mindset, and experience with multiple aspects of fundraising and patron relationship management such as data analysis, donor relations, and operational support.
Candidate will be part of a three-person staff. We look forward to welcoming a team member who is interested in growing their skills/knowledge to achieve Symphony goals, while we help them develop skills in other areas of fundraising, with growth opportunities within this team.
Organizational Background: Founded as an amateur orchestra in 1977, the Glens Falls Symphony musicians are fully professional, having joined the AFM Local 506 in 1990. The orchestra performs five regular-season concerts in the award-winning Glens Falls High School Auditorium in programs that feature national and international guest artists, and frequent collaborations and co-commissions or works by living composers, including those who have won Grammys and Pulitzer Prizes. The orchestra also produces children’s educational programs in the Warren/Washington/Saratoga County and Adirondack region. The educational events also include events for all ages like panel discussions, free film screenings, downtown social “lively learning” events, pre-concert talks, and others. Summer programs for the public include the July 3 “Independence Day Summer Pops” celebration and concert with fireworks at Crandall Park in Glens Falls, and a repeat performance at Silver Bay YMCA.
The GFS serves over 2,000 students per year in school-day programs, and 12,000 people of all ages in the immediate 6-county region and 340 zip codes with all programming. The GFS’s current budget is $550,000. For more information visit www.theglenfallssymphony.org.
The Patron Data and Fund Development Coordinator position is a flexible, part-time position averaging 22-28 hrs./week. The candidate is responsible for:
· Supporting the organization’s fundraising via foundation and government grant scheduling, writing, and reporting
· Assisting with corporate sponsorship, including sponsorship prospect research and outreach materials
· Contributing to excellent patron data and database management, including gift entry and reporting, regular de-duplication, and ticket records reporting.

Responsibilities
Patron/Donor Data: 50%
· In partnership with the Executive Director and Patron Services and Development Director, manage and maintain the CRM and donor database
· Track fundraising-related correspondences, site visits, and gift receipts and acknowledgements
· Manage a range of functions within the GFS database, including gift entry, patron data entry/record maintenance, reports/exports, donor/subscriber stewardship, and donor/subscriber analysis
· Conduct research on prospects, including lapsed subscribers and donors, single ticket buyers, and Symphony friends to foster and maintain a strong pipeline that moves patrons from current to higher levels of engagement and support
· Track grant and other income, prepare gift receipts/letters, and maintain impeccable records to ensure accuracy for required reporting for strategic communications and campaigns
· In conjunction with the GFS team, participate in creation of accurate, targeted patron lists necessary for mail and digital fundraising appeals
Grants: 20% (in collaboration with the Executive Director)
· Maintain grants calendar and database.
· Prepare drafts of grant applications, following the specified guidelines for each opportunity, collecting required attachments, and drafting corresponding budgets
· Draft and write grant reports in a timely manner, collaborating with colleagues to gather necessary data and information, and tracking report activities
· Draft and synchronize timely submission of Letters of Interest and grant proposals.
· Prepare and update necessary supporting documents for grant applications, such as budgets, letters of support, and other required forms
Sponsorships and Gala: 20%
· Research and create corporate sponsorship letters and/or presentations, and schedule follow-up
· In conjunction with the GFS team, prepare patron lists for Gala Honorary Committee, regular ticket campaign, and Gala sponsors.
· With guidance from the Executive Director, provide events support for Gala and special events engagement activities such as RSVP management and patron research
· When required, serve as a resource to and interact with donors of all levels and types as a representative of our team
Fund Development, General: 10%
· Coordinate the scheduling of fund development and data activities with the staff and the Development Committee (including subscriber and donor data management)
· Coordinate the annual development calendar with the team and be able to communicate deadlines and priorities to colleagues
Qualifications and Skills
· Experience working with donor tracking systems/databases strongly preferred
· Superior attention to detail and impeccable organizational/time management skills, including coordination of data sets from multiple sources
· Excellent verbal and written communication skills
· Ability to manage multiple long- and short-term projects simultaneously, meeting all related deadlines, with the ability to plan, prioritize, coordinate with the team.
· Positive attitude and high motivation to learn about and support GFS program and fundraising goals
· Proven ability to work unsupervised, while also able to ask for support and/or training, as needed
· Extensive computer skills, including proficiency with Microsoft Office (EXCEL, PowerPoint, and Word)
· Assist with social media, newsletters, and other marketing initiatives as related to fund development
· Perform additional job-related duties, as needed
Working Conditions
· Working environment is mostly interior office work at a desk, with occasional support of staff at events that are outside or require some outside time
· GFS office is in a second-floor office with no elevator, only stairs.
· Occasional physical effort/lifting required up to 50 pounds
· GFS concerts and events take place mostly on weekends, but participation in events will be discussed directly between candidate and Executive Director.
